The purpose of this statement is to inform our customers, partners, and website visitors about how and to what extent we use AI, and how we ensure data privacy and quality.

We use AI solutions to streamline our processes and provide even better service. Our typical use cases include:
- Customer Service and Support: Our customer service and support may utilize AI to answer frequently asked questions quickly and route more complex queries to our experts.
- Sales & Customer meetings: We use AI in automated meeting transcriptions and analysis.
- Content Creation and Ideation: We leverage AI for drafting texts (such as blog posts, newsletters, and marketing materials), proofreading, translation, and brainstorming.
- Software Development and IT Solutions: Our experts may use AI assistants (such as coding assistants) for code optimization, testing, and debugging.
- Data Analysis: We use tools to analyze large volumes of data and identify trends, allowing us to develop our services based on data-driven insights.
2. Accountability and Human-in-the-Loop
For us, AI is a powerful assistant, not an independent decision-maker. We adhere to the following principles in all our AI utilization:
Quality Assurance: No AI-generated output—whether code, contractual text, or an expert article—is delivered to a customer or published without review and approval by a Gapps expert.
- Critical Mindset: We recognize the limitations of AI models, including the potential for incorrect information ("hallucinations"), and we always fact-check AI-generated content before utilizing it.
- Ethics: We ensure that the tools we use do not reinforce discriminatory biases or infringe upon copyrights.
3. Data Security and Privacy
Protecting customer data and personal information is of paramount importance to Gapps. We adhere to strict data security principles when selecting and using AI tools:
- Enterprise-Grade Tools: We primarily use closed, enterprise-grade AI solutions (e.g., AI features within the Google Workspace environment, such as Gemini, or separate secured API connections).
- Data Ownership: We ensure that the data we input (prompts), customer data, or trade secrets are not used to train public AI models. Our inputs remain under our control and the control of our customers.
- GDPR Compliance: We do not input personal data into AI systems unless it is part of a specifically verified, secure, and GDPR-compliant process.
